Join Boral as an Executive Assistant and play a key role in supporting two of our Executives. This dynamic position offers an exciting opportunity to contribute to a fast-paced environment, managing day-to-day operations, coordinating high-level meetings, and providing essential administrative support. Key Responsibilities:

  • Executive Support: Provide seamless administrative support to two senior executives, including managing complex calendars, scheduling meetings, and coordinating travel and accommodation arrangements.
  • Communication Management: Screen and prioritize calls, emails, and correspondence, acting as a liaison between executives and internal/external stakeholders.
  • Meeting & Event Coordination: Prepare agendas, schedule meetings, arrange logistics, and attend meetings to take minutes and follow up on action items.
  • Document Management: Organize, maintain, and manage important documents, contracts, and reports to ensure they are up-to-date, properly filed, and easily accessible.
  • Project Assistance: Support executives in tracking key project timelines, deliverables, and liaising with project managers and teams to ensure smooth progress and deadlines are met.
  • General Office Administration: Oversee general office operations, including managing supplies, coordinating office maintenance, and liaising with external vendors and contractors.
  • Ad-hoc Tasks: Handle special projects and ad-hoc administrative tasks as needed to support business operations.

 

Key Requirements:

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role, ideally within the construction or related industries.
  • Strong multitasking abilities and the capacity to prioritize and manage tasks for two senior executives simultaneously.
  • Exceptional communication skills, both written and verbal, with a keen attention to detail.
  • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other office management tools.
  • Strong organizational and time management skills with the ability to work autonomously and manage competing deadlines.
  • A proactive and problem-solving mindset with the ability to anticipate the needs of executives and respond accordingly.
  • Previous experience in the construction industry is highly desirable but not essential.
